Chapter 1: Personal Information Protection Policy


ARTerrace Inc. (hereinafter referred to as “the Company”) considers the proper handling of personal information to be a social responsibility in conducting business activities. To fulfill this responsibility, the Company establishes the following personal information protection policy, establishes a management system for personal information protection, and implements responsible corporate practices.

Article 1: Collection and Use of Personal Information

The Company will collect personal information with clearly defined purposes and use personal information only within the scope of those purposes.

Article 2: Management and Protection of Personal Information

The Company will strive to implement appropriate security measures to prevent loss, misuse, and alteration of personal information under its control, and will take prompt corrective action in the event of any problems. In principle, we will not disclose or provide data to third parties except when approved by users and business operators.

The Company will comply with applicable laws, guidelines established by the government, and other norms regarding the handling of personal information under its control.

Chapter 2: Handling of Personal Information


Article 1: Purpose

This personal information handling policy is established to ensure the security of personal information obtained through the information media “Kogei Japonica” (hereinafter referred to as “the Service”) planned and operated by the Company.

Article 2: Definition

Personal information refers to information related to individuals, including all information about any individual using the Service (hereinafter referred to as “users,” including individual customers, business partners, employees, and all other individuals) that can identify the individual through text, images, sound, etc., such as address, name, phone number, email address. Even if the information alone cannot identify an individual, if it can be easily cross-referenced with other information and ultimately identify an individual, it is also included in personal information.

Article 4: Purpose of Use of Personal Information

The Company defines the purpose of use of personal information as follows and acquires and uses personal information within the scope necessary to achieve that purpose. If the Company must acquire or use information for reasons other than those listed below, we will notify users and obtain their consent before acquiring or using it.

The purposes of use of personal information are as follows:

  • Personal authentication related to the Company’s provision of services to users
  • Provision to client companies using the Company’s services based on user consent
  • Recruitment and application reception of monitors and interviewees for article creation, and contacting selected individuals
  • Delivery of targeted advertisements using user behavior, gender, access history within the Company’s services and contracted services, to the extent that individuals cannot be identified
  • Creation and use of statistical information related to the Company’s services to the extent that individuals cannot be identified
  • Provision of information as marketing materials to companies featured by the Company, partners, and other third parties within the scope that individuals cannot be identified
  • Notification of various surveys and campaigns, acceptance of applications, contacting winners, sending prizes, etc.

  • Conducting necessary business operations for providing Company services, responding to inquiries, consultations, and complaints, and resolving disputes
  • Improvement, troubleshooting, and development of services
  • Other cases necessary for carrying out business related to or incidental to the above operations

Article 5: Provision of Personal Information to Third Parties

In principle, the Company will not provide personal information to third parties without the consent of users. However, personal information may be provided without consent in the following cases:

  • When required by law
  • When necessary to protect the life, body, or property of an individual, and it is difficult to obtain the user’s consent
  • When especially necessary to improve public health or promote the sound growth of children, and it is difficult to obtain the user’s consent
  • When the Company determines that cooperating with a national agency, local public entity, or a person entrusted by them in executing affairs prescribed by laws and regulations would hinder the execution of those affairs if the user’s consent were obtained
  • When disclosure of personal information is requested by a court, public prosecutor’s office, police, bar association, consumer center, or similar institutions
  • When explicitly requested by the user to disclose or provide their personal information to a third party
  • When outsourcing part or all of personal information handling operations within the scope necessary to achieve the purpose of use
  • When provided in connection with the succession of business due to merger or other reasons
  • When providing information within the legitimate scope of the Company’s business and where there is no risk of infringing on the user’s interests

Article 6: Disclaimer

The Company shall not be held responsible for the acquisition of personal information by third parties in the following cases:

  • When users themselves disclose personal information to third parties
  • When an individual is identified through information entered in the Service by users or others
  • When users provide personal information on external sites linked from the Service, or when that personal information is used by third parties
  • When a person other than the user obtains information that can identify the user (such as ID and password)

Article 7: Management of Personal Information by Client Companies and Other Third Parties

Personal information provided to third parties based on user consent will be managed under the responsibility of each third-party recipient.

Article 8: Outsourcing of Personal Information

The Company may outsource all or part of the handling of personal information within the scope necessary to achieve the purpose of use. When outsourcing the handling of personal information, the Company will select appropriate contractors and properly supervise them to ensure that personal information is safely managed.

Article 9: Accuracy of Personal Information

The Company will strive to process the provided personal information accurately. However, users are responsible for ensuring that the personal information they provide is accurate and up-to-date.

Article 10: Disclosure of Personal Information Subject to Disclosure

The Company will respond to requests for disclosure, etc. (requests for notification of purpose of use, disclosure of personal information or third-party provision records, correction, addition, deletion, cessation of use, cessation of third-party provision) as follows:

  • Notification of purpose of use or disclosure of personal information or third-party provision records
    Customers may request notification of the purpose of use or disclosure of personal information or third-party provision records from the Company, following the procedures specified below, to the extent permitted by the Personal Information Protection Law.
    However, the Company may not disclose information in any of the following cases:

      • 4. When it cannot be confirmed that the request for disclosure is from the individual themselves
  • Correction, addition, and deletion
    Customers may request correction, addition, or deletion of personal information following the procedures specified below. In such cases, the Company will conduct an investigation without delay within the scope necessary to achieve the purpose of use and, based on the results, will correct, add, or delete the personal information to the extent permitted by the Personal Information Protection Law.
  • Cessation of use or third-party provision
    Customers may request the cessation of use or third-party provision of personal information following the procedures specified below. In such cases, the Company will respond appropriately in accordance with the Personal Information Protection Law.
  • Procedures and fees
    To make a request for disclosure, etc., customers should fill out the Company’s designated request form (see 1 below) with the required information, enclose personal identification documents (see 2 below), and send them by mail to the Company’s designated address (see 3 below). Please note that a fee of 1,000 yen per request will be charged for notification of purpose of use and disclosure of personal information or third-party provision records. Please transfer the fee to the bank account specified on the request form. Please understand that the designated fee will be charged even in cases of non-disclosure and non-notification of purpose of use.

        ・Personal identification document of the voluntary agent (one of the following: Individual Number Card (front side), driver’s license, health insurance card, or passport)
        For requests made by a legal representative
        In addition to the documents listed in “For requests made by the customer themselves” above, the following documents:
        ・Document confirming the existence of legal representation rights (family register or certificate of registered matters for adult guardianship)
        ・Personal identification document of the legal representative (one of the following: Individual Number Card (front side), driver’s license, health insurance card, or passport)

Please note that if personal information is deleted or its use is stopped, you may no longer be able to receive services you are currently using. Personal information that is no longer necessary due to the completion of service provision, etc., will be disposed of according to the Company’s regulations.

Article 11: Acquisition of Personal Information by Methods Not Easily Recognizable by Users

On this website, we may use technologies such as cookies to obtain attribute information and behavioral history for purposes such as improving site usability, obtaining statistical information on access status, and optimizing advertising effectiveness. However, we do not acquire personal information that users have not entered through the use of such technologies.
